대학의 학과기록물관리 현황과 과제 -D대학교 조교의 사례를 중심으로-

국문 초록

학과기록물은 대학 본부 차원에서 생산⋅관리되는 기록물과 더불어 대학의 투명한 행정체계와 명확한 학사관리를 위한 중요한 자산으로 자리하고 있다. 체계적인 대학기록물의 관리를 위해서는 학과기록물에 대해 관심을 가지고 세심한 관리전략을 필요로 한다. 이에 본 연구는 학과 단위에서 생산되는 기록의 유형을 파악하기 위해 학과기록물의 유형을 전자형태와 비전자형태로 구분하고, 이를 다시 전자형태의 경우, 전자문서와 전자파일로, 비전자형태의 경우는 종이기록과 행정박물로 유형화하였다. 연구방법은 학과기록물이 처리되는 과정에 대해 실체적으로 접근하기 위해 D대학교의 학과조교 14명을 대상으로 구조화된 면담 및 설문조사를 실시하였다. 조사결과, 시스템을 통해 관리되는 ‘전자문서’를 포함한 대부분의 학과기록물은 학과의 업무담당자인 조교의 임의판단에 의해 관리되고 있었으며, 이로 인해 각 학과마다 기록의 분류 체계, 보존 방식, 폐기 방식 등이 모두 상이하게 이루어지고 있음을 알 수 있었다. 조사결과를 바탕으로 학과기록물을 체계적으로 관리하기 위한 방안 및 지침이 부재함을 지적하고, 향후 문제점 해소를 위한 방안으로 대학 차원에서 학과의 기록물관리체계의 정립하고, 관련 표준 마련 및 교육 강화를 제안하였다.

영문 초록

To investigate the present status of Academic department records, this study divided the types of Academic department records into electronic type and non-electronic type, referring to the kind and content of each type of college archives and categorized the electronic type into e-documents and e-files and the non-electronic type into the paper records and administrative artifacts. this study conducted a structured interview and survey with 14 department administrative assistants in charge of departmental administrative work in ‘D’ University. As a result of a survey, most Academic department records, including ‘e-documents’ managed through a system were managed by the discretionary judgment of an assistant, the person in charge of departmental work, and it was noted that accordingly, there were differences in the record classification system, conservation method and discarding method in each department. Based on the results of the survey of the present status of this Academic department records management, this study pointed out that there was a lack of measures and guidelines for systematic management of Academic department records as a cause of the present status of the poor Academic department records management. Thus, as measures for the resolution of the problems in the future, this study proposed the preparation of the related criteria, the improvement of education.
